WorkCentrics: Outlook IntegrationThe WorkCentrics time tracking solution takes advantage of, and complements, the tools and data you are already familiar with in the Microsoft Office suite of business productivity applications. A key value of the WorkCentrics solution comes from the program’s real-time integration with the Microsoft Office suite of business management tools, particularly Microsoft Outlook. WorkCentrics streamlines the management of your Outlook contacts, tasks, appointments, messages and notes, and lets you automatically link your Outlook data to each timecard you create. At a glance, you can see all of your tasks, appointments, messages, and notes associated with the time you have spent on a particular contact or activity.
WorkCentrics lets you link each timecard to new or existing Outlook tasks, appointments, messages and notes. To manage and view the details of these links, you simply select the desired timecard, then select the Links tab in the preview pane. When creating new Outlook items from within WorkCentrics, you can set default properties for the new Outlook items and, in addition, automatically write selected contact or time data from the timecard to the subject and/or body field of the new Outlook item. This not only simplifies the task of managing your critical data, but also gets the information where you need it the most with little or no extra effort! WorkCentrics also automatically writes time and contact related data as user-defined properties to all Outlook items created using WorkCentrics. This feature gives you the ability to create custom views of your Outlook data, grouped, sorted and arranged by whatever time-related data you wish to use.
Where Outlook integration is elected, you may also elect to use an Outlook contact folder as the primary source of program contact data. When this election is made, any time you want to view and/or edit your contact data, WorkCentrics will open the contact in the standard Outlook contact form.
Outlook journal entries represent a record of the time you spend on activities, very similar to a WorkCentrics timecard. You may optionally have WorkCentrics create a matching Outlook journal entry for each timecard you add in WorkCentrics. Like other Outlook items linked to a timecard, you may also automatically write selected data from the timecard to the subject and/or body fields of the linked journal entry.
In WorkCentrics, the "time spent" of a timecard represents the total time added to the timecard in hhh:mm:ss format. In most cases, this time spent does not represent a single block of time but rather the sum of any number of different time blocks entered over a period of time. These time blocks are called "time detail". You may optionally have WorkCentrics write an appointment to an Outlook calendar folder each time you start and pause the timer on a timecard, or manually add time. This makes it easy to view all of your activities at a glance using a familiar Outlook calendar view!
